CONTRACT POLICIES
There is a $500.00 security and damage deposit required returned with the banquet reservation agreement within seven (7) days to reserve the date. Deposit is non-refundable if you cancel your event. This deposit will be refunded in full, less any additional cost and services by mail within fifteen (15) to thirty (30) days after your function. If we do not receive the deposit within seven (7) days of the agreement date, we will consider the function canceled and the Club will have no further obligation to the customer to reserve this date. If the type of event is found to be different than as stated on contract at time of banquet reservation is made, the event is subject to cancellation. No addendums to this contract will be honored under any circumstances unless initiated by a representative of Los Serranos Country Club.
Cancellation - Cancellations within sixty (60) days of function date will forfeit all prepayments. All cancellations must be in writing.
Guarantee - An estimated attendance figure is to be provided at the time the function is scheduled. A final minimum guarantee for guests must be provided fourteen (14) days prior to the function. The Club will prepare for five percent (5%) over the guarantee. Any additional guests over the guaranteed number will be charged to the customer.
Payment - Fifty percent (50%) of all estimated charges, including labor, service charges and taxes, is due and payable two (2) months prior to the date of the function. The final balance is due fourteen (14) days prior to the function date. Payments may be made in cash, check, cashier's check, money orders, or a check from your credit card company. Credit cards will not be accepted at any time.
Prices - Prices quoted in sales brochures or menus are subject to change. Price will be confirmed two (2) months prior to your function.
Service Charges and Taxes - An eighteen percent (18%) service charge will be added to all food and beverage charges. Per California State Law, State sales tax is then added to the new subtotal. (State Board of Equalization Regulation 1603). An eighteen percent (18%) service charge is added to any chair cover charges, liquor charges, or any other charges that are deemed necessary by the Club.
Outside Food and Beverages - Due to Health Department and Alcohol Beverage Control laws and regulations, no food and beverages, with the exception of wedding cakes, may be brought on or taken off the Club premises. There is a $1.50 per person cake cutting fee for any cake not supplied by the Club.
Outside Catering - Los Serranos Country Club does not permit any outside catering without prior notice. A Certificate of Insurance/Release of Liability, & Proof of Purchase (receipt of other form) must be provided no later than fourteen (14) days prior to the function. Failure to comply may result in the termination of the event without compensation. Los Serranos Country Club will not be held responsible for any food provided by an outside caterer. A pre-appointed representative of the even must be present and assist in the set-up and receiving of all purchased food.
Decorations - The Club does not permit anything to be affixed to the walls, ceilings, fixtures, or furnishings unless with the Club's approval. Check with your Los Serranos Country Club representative for the available decorating time. There will be a two-hour set-up time prior to the function for all outside arrangements. Contact your Los Serranos Country Club representative for more information on decorating times one (1) week prior to the function. Prompt complete removal of all decorations is the responsibility of the customer. No throwing of rice, birdseed, or confetti is permitted. Confetti is strictly prohibited from decoration on tables. Balloons must be popped and removed from premises by client. Additional clean up of decorations may be arranged at an additional price.
General - Customer accepts full responsibility for their conduct and condition of their guests, and accepts liability for any charges by their guests and/or damage caused by their guests. The Club will not be responsible for any customer's merchandise or articles on the premises at any time. No entering unauthorized areas of facility or golf courses, no running or walking on putting greens or driving range. Events held on Saturday have a 150 minimum guest guarantee.
Room Rental - Included with full catered function. Five hours with dinner events. Four hours for luncheon events. Additional time is $400.00 per hour. Event must end by 12:00am. All music must be turned off by the listed ending time on the contract. All guests must exit the clubhouse within twenty (20 minutes of the end of the function. If guests, no matter the quantity, are still in the clubhouse thirty (30) minutes after termination of the event then The Club reserves the right to charge a minimum of a full extra hour ($400.00) to event account.
Rights to Withhold Services - The Club reserves the right to withhold services not in compliance to the policies of Los Serranos Country Club.
Alcoholic Beverage Control - As a licensee of the State Alcoholic Beverage Control Authority, the Club strictly adheres to all laws and regulations pertaining to the service and sale of alcoholic beverages. Alcohol can only be dispensed by club servers or bartenders. The A.B.C. requires Los Serranos Country Club to refuse alcohol service is the person is underage and/or proper identification cannot be furnished. Employees also have the right to refuse alcohol service to any person, who in the server's judgment appears intoxicated. We ask your understanding and must insist upon your cooperation. Failure to comply or assist in the enforcement of rules & regulations may result in the termination of the event without compensation. Last Call will be made forty-five minutes prior to the end of the function and the bar will be closed thirty (30) minutes prior to the end of the function.
Menu Planning - Current prices are indicated on enclosed menus. For continuity, we suggest that you select the same entrée for your entire group. No food, beverages, alcoholic or otherwise, are allowed onto the premises by an outside source without permission. We reserve the right to charge for these privileges. If two (2) menu entrées are selected, all meals will be charged at the higher price. Adjustments to the menu or any other arrangements are not permitted after fourteen (14) days prior to the event. Any arrangements for alcohol, wine or otherwise, must be made no later than two (2) weeks prior to the event. Changes to any event arrangements within two (2) weeks prior to event date are subject to additional costs or fees and cannot be guaranteed.
Seating - Seating will be round tables of 10 people, unless otherwise requested. Special seating diagrams with names or numbers are available for assigned seating. Arrangements with our offices are necessary if you require assigned seating. Head and prize tables will be available with arrangements made prior to the event. Drastic changes to the layout of the room on the day of the event may result in additional fees that would be determined on the day of the occasion. The addition of tables to the room layout on the day of the event is subject to a $35.00 per table set-up fee.
Security - Los Serranos Country Club reserves the right to schedule private security personnel for any event. In the event Los Serranos Golf and Country Club does feel additional security will be necessary, an outside source will be brought in and charged at the current rate.
Vendors & Other Services - Los Serranos Country Club may recommend a variety of Preferred Vendors, however, the Club is not responsible for any services and will not assume any responsibility under any circumstances. Los Serranos Country Club will assist, upon request, in the booking and scheduling of other services consisting of, but not limited to the following: florists, decorators, photographers, videographers, clergy, entertainment, DJ's & Sound Systems, etc. Los Serranos Country Club will not be held responsible for any services provided by other vendors or lack thereof. In the instance of a Los Serranos Country Club representative arranging any contract requested by a client (business or individual) for a vendor's services, the contract and all responsibilities are assumed by the client.
